A shop has many small jobs: remembering who owes you, matching the drawer, knowing what is on the shelf, paying staff and finding out whether the month made money. On paper each job is a different notebook. eKhata puts them in one app on your phone, so one entry feeds the others. This guide walks through each part and how a shopkeeper uses it day to day.
Key points
- One bill updates the customer's khata, the stock and the cash book together
- Customers and suppliers, cash and bank, stock and staff are all in one place
- Profit and loss and the balance sheet are built from the entries you already make
- It works in Urdu and English, on Android, iPhone and Windows
The khata: who owes you and whom you owe
The parties ledger is the heart of eKhata. Every customer and supplier gets a running khata. You see at a glance what you will get and what you will give, and every entry carries a date and a note.
When a customer asks about their balance, you search by name or phone and read the exact figure. You can also send a PDF statement or a payment reminder to their WhatsApp in one tap.
The cash book: where the money actually went
The cash book records money in and money out, and keeps cash, bank, Easypaisa and JazzCash apart. Sales, expenses, salary payments and party payments post to it automatically, so you rarely type a cash entry twice.
At closing you compare the drawer with the book for the day. If they differ, you find out today, not at the end of the month.
Bills, stock and expenses
Make a sale bill, a purchase bill or a return in seconds. A bill can be fully or partly paid, and eKhata shows what is still due. Stock goes down when you sell and up when you buy.
Stock is counted in the unit you sell in: kilo, litre, piece, dozen, metre, yard, thaan, bag and more, including fractions. Weighted average costing keeps your cost honest when supplier rates change.
The expense book holds rent, electricity, transport and other costs by category, with an optional receipt photo.
Staff, payroll and outsourcing
Mark attendance, note advances and let eKhata work out the month's salary. Each employee has a ledger and a salary slip you can share.
If you send cloth out for dyeing or processing, the outsourcing workflow follows the stock from raw purchase, through the vendor, to finished goods, and adds the vendor's charges and any shrinkage to the cost.
Reports that answer one question: did I make money?
Because every entry lands in the right place, the reports come for free. You get a Profit and Loss summary, a Trading account, a Balance Sheet and a Trial Balance for any date range, and you can print them to PDF or export to Excel for your accountant.
- Net operating profit for the period
- Gross revenue, purchases and total expenses
- Cash and bank balance next to what customers owe you
Control, privacy and getting started
You can give staff their own logins with permissions for each module, and a PIN lock can lock the app on your device. eKhata keeps a daily cloud backup, so a lost phone does not mean a lost khata.
To begin, message the team on WhatsApp. They set up your account for a 7-day free trial and can help you enter your existing balances. Plans start at Rs 2,000 a month and every plan includes every feature.
